Standardized EDI codes, officially known as ANSI X12 document types, facilitate efficient transfers of information between business partners. Familiarity with these codes is at the center of understanding what EDI is in logistics. The American National Standards Institute (ANSI) is responsible for the standard EDI codes to define document types in North America. The various EDI document types organize information, allowing buyers and suppliers to communicate consistently so nothing gets lost in translation.

How Are Standard EDI Codes Established?

ANSI chartered the Accredited Standards Committee (ASC) X12 to develop uniform standards for EDI in 1979. Standardized ANSI X12 document types came about as part of this effort, and now there are more than 300,000 companies using X12 EDI standards for their business transactions. Many of the big-box stores deviate slightly from ANSI standards to create their own protocols as they conduct business (creating the need for retailers to have an EDI service as well as an EDI platform), but learning the rules is still important. One might think of this as mastering proper grammar before trying to understand colloquialisms and slang, and ANSI makes the syntax rules.

EDI Code 753 - Request Routing Instructions

EDI 753 originates on the supplier side and is communicated to the buyer. The request for routing instructions facilitates situations in which the buyer controls the transportation process. This transaction type includes shipment details such as the following:

Routing control number
Pick up date, time, and location
Description of the shipment and number of products
Weight, dimensions, number of units, and other shipment details

EDI Code 754 - Routing Instructions

The routing instructions transaction normally originates on the buyer side before being sent to the seller. This authorizes a shipment during the fulfillment process and provides additional instructions. This document type generally includes the following information:

Pick up date, time, and location
Carrier and number of trailers allocated
Destination
Authorization and confirmation details

EDI Code 810 - Invoice

Also referred to as EDI 810 e, the invoice is sent to the buyer by the supplier. This accounting document type can be used to communicate transaction details. EDI 810 is for general invoices, unlike EDI 210 (motor carrier freight details and invoice) or EDI 880 (grocery products invoice).

EDI 810 e-transaction types contain traditional invoice information including the following:

EDI Code 846 - Inventory Inquiry/Advance

EDI Code 850 - Purchase Order

Officially called EDI code 850 e by ANSI, the purchase order is often one of the first transmissions businesses send upon switching to EDI. It is a logical first step in the process of placing a single order, placing a recurring order, or updating an existing order. Purchase orders include information such as the following:

Order date, shipping date, and/or delivery date
Buyer name, address, and billing information

EDI Code 855 - Purchase Order Acknowledgment

Labeled EDI code 855 e by ANSI, this message is the response to EDI 850. It either confirms, rejects, or requests changes to the associated EDI 850. EDI 855 is the specific response for purchase orders. This goes beyond EDI 997, which simply confirms receipt of other EDI documents. EDI 855 includes the following:

Seller vendor number
Key details from the corresponding EDI 850
Errors from or required changes to the original EDI 850

EDI Code 856 - Ship Notice/Manifest

The ship notice/manifest is also known as the Advance Shipping Notice (ASN). It originates from the shipper and contains the following information for the receiver:

Shipping date and expected delivery date
Shipping addresses and tracking details
Carrier information
Item description and quantity

EDI Code 860 - Purchase Order Change Request - Buyer Initiated

Referred to as EDI code 860 e by ANSI, this document type gives notice that the buyer needs to make changes to the previously transmitted EDI 850. The following information is provided to communicate changes:

EDI Code 997 - Functional Acknowledgment

Officially EDI 997 e per ANSI, this is a confirmation of receipt of EDI documents. It includes the transaction code of the EDI received as well as a designation of Accepted, Accepted With Errors, or Rejected. If the original EDI was not accepted, EDI 997 includes a list of all offending elements.
